If you run a distribution business in India, you already know how orders really move. A salesman visits a dealer and notes the order on paper or WhatsApp. Then someone in the office types it again. Someone else checks stock and someone checks the dealer's outstanding. The manager gets called, the order changes twice, and the dealer only finds out what is actually coming when the bill arrives.

Every one of those steps works on its own. The trouble is in the gaps between them: re-typing, missed messages, unclear approvals, and dealers who are never quite sure what was confirmed.

This article walks through a simple, practical way to automate the dealer/distributor order flow without forcing your team to change how they think. You can try the complete workflow yourself in our live distribution demo.

The real problem: one order, many hands

A typical dealer order passes through four people:

  1. Salesman: books the order in the field.
  2. Admin: checks stock and the dealer's credit position.
  3. Manager: takes the final call, especially on credit.
  4. Billing: raises the invoice.

When this runs on paper, phone calls and chat groups, you get familiar problems:

  • Orders are typed twice, so mistakes creep in.
  • Nobody can see where an order is stuck.
  • Dealers get many confusing messages, or none at all.
  • Credit decisions depend on memory, not on a recorded remark.
  • Reports by dealer, item or salesman take hours in Excel.

Automation does not mean replacing your people's judgment. It means giving each person one clear screen and one clear action, and letting the system carry the order to the next step.

Step 1: The salesman books from mobile

The salesman opens a mobile-friendly website, picks the dealer and sees all items with prices. As quantities are entered, the total is calculated including GST. No app install, no paper slip and no re-typing in the office.

When the order is submitted, the dealer receives alert 1 by email and WhatsApp: "Your order has been booked." The dealer knows straight away that the order has reached the company.

Step 2: The Admin checks stock and credit

Most distributors check stock and credit offline: in Tally, in a register, or by looking at the godown. The workflow respects that. The Admin simply records the result:

  • A "Stock checked" tick
  • A "Credit checked" tick
  • Remarks, such as "Item X only 20 boxes available" or "Outstanding above limit"

If something is short, the Admin can reduce quantities or remove items, then forward the order to the Manager. Every change is recorded, so nothing is lost in a phone call.

Step 3: The Manager decides

The Manager sees the original order, the Admin's ticks and remarks, and any changes made. Now the Manager uses discretion:

  • Override credit for a trusted dealer
  • Edit quantities or items
  • Approve for billing

This is the step that usually happens over a phone call and gets forgotten. Here the decision is visible and recorded.

Step 4: The dealer gets the final confirmation

Once the Manager approves, the dealer receives alert 2: the final confirmed order, showing any changes from the original booking.

There are only two alerts in the entire process. The dealer hears from you when the order is booked and when it is confirmed. No noise from internal back-and-forth, and no surprise when the bill arrives.

Step 5: Billing

A billing employee clicks "Send to billing", and the order appears on the Billing Terminal, ready to be invoiced. Billing no longer has to chase the order sheet or confirm quantities again.

Step 6: Reports for Admin and Manager

Because every order flows through one system, reports come for free:

  • Dealer-wise: who is ordering, how much, and how often
  • Item-wise: which products move and which don't
  • Order-value-wise: big orders versus small ones
  • Salesman-wise: who is booking what

These are the questions owners ask every week. With the data already structured, the answers are a click away instead of an evening in Excel.

See it working: try the live demo

We built a browser-only sandbox so you can walk through the whole flow yourself, switching between the Salesman, Admin, Manager and Billing roles. Book an order, tick stock and credit, edit as the Manager, and send it to billing.

👉 Try the distribution demo

The demo runs entirely in your browser. No real alerts are sent and no data is stored on a server, so feel free to experiment.

Why this approach works for Indian distributors

  • It matches how you already work. Stock and credit checks stay offline if you prefer, and the system only records the result.
  • Human judgment stays in charge. The Manager still decides, and the decision is now visible.
  • Dealers get clarity. Two clear alerts build trust and reduce disputes.
  • No re-typing. The salesman's entry flows straight through to billing.
  • Mobile first. Salesmen use the phones they already carry.

Can it be customised for my business?

Yes. Every distribution business has its own rules: credit limits, schemes, item categories, multiple godowns, or a specific billing software. The demo shows the core flow, and PKD Ventures can adapt it to your products, roles and approval steps.
