If you run a plumbing, HVAC, roofing or cleaning business, you already know the problem. The phone rings while you are on a roof or under a sink. You can't pick up. The caller tries the next company on Google.

There are two ways AI can help:

  1. Answer the call. An AI voice agent picks up, asks a few questions, and books the job.
  2. Text back the missed call. When you miss a call, a text goes out right away: "Sorry we missed you. What do you need help with?"

Below are the tools and DIY setups we track for this job in the BusyWorkBots directory. Every one links to a real source. Prices come from each maker and change often, so check before you buy.

Ready-made tools that answer the phone

Avoca AI

  • What it does: Answers every call day and night and books the job. Texts new web leads within seconds. Follows up on missed calls and open estimates.
  • Cost: Not shown. Book a demo to get a price.
  • Proof: Avoca's own customer story says a Pennsylvania HVAC and plumbing company (HL Bowman) answers 100% of calls and cut its cost per conversion from $350 to $215. That is the maker's story, not an outside test. Source
  • Setup: Book a demo, connect your field software (like ServiceTitan), set your booking rules and service area, then turn on call answering.

Zenplus AI Receptionist (for roofers)

  • What it does: Answers every call, asks your must-ask questions, and books estimates through Calendly.
  • Cost: Not shown. Check the maker's site.
  • Proof: The maker's case study says a roofing company saved 8+ hours a week. That is a maker claim. Source

ElevenLabs Agents

  • What it does: Answers your business phone, answers common questions, books appointments, and sends hard calls to staff.
  • Cost: The maker lists a free plan to try. Paid plans start at $6/mo (Starter), then $22/mo (Creator) and $99/mo (Pro). Agent calls use your monthly credits, so busy lines cost more.
  • Good to know: It takes more setup than the others. You write the greeting, add your prices and FAQ, and connect a phone number and calendar. Source

Smith.ai AI receptionist

  • What it does: Answers calls, books, and takes messages.
  • Cost: The maker lists a free tier for 25 calls, then Pro at $150/mo. Source

Yelp Smart Lead Reply (for Yelp quote requests)

This one doesn't answer the phone. It answers Yelp "Request a Quote" messages right away, asks your questions, and shares your booking link.

  • Cost: $30/mo, per Yelp. In October 2026 Yelp said it would roll out the next month.
  • Good to know: There are no results yet. Yelp hasn't said how accurate it is or whether you can approve replies first. Source

DIY setups you build yourself

These take more work, but you control every word the bot says.

Missed-call text-back on n8n (built for HVAC)

A builder shared a setup that runs on self-hosted n8n. His post says the server costs about $4.80 a month. Texting costs extra.

The steps are simple:

  1. A missed call comes in.
  2. n8n sends a text back.
  3. The text asks what they need.
  4. The visit goes on your calendar.

Roof leak call taker

A builder forwards missed calls to an AI voice agent and gives it just 3 questions:

  • Where is the leak?
  • How bad is it?
  • When can we come out?

Then it connects to the calendar to book a visit. The post doesn't name the voice tool. Source post

Text reply drafter (you approve every text)

A free template on GitHub drafts replies to customer texts. It asks what the problem is, the address, and a good time. It quotes from your price list for standard jobs and offers two open 2-hour slots. You OK each text before it sends. It also sends "flooding" or "gas smell" texts straight to you.

The template's own estimate is about 12 hours saved a week. That is the template author's guess, not a measured result. Template ร‚ยท Our page on it

A missed-call list built with Zapier and Claude

A plumbing and HVAC shop asked Claude, through Zapier, to build Zaps in plain words. One example: "Every 15 minutes, list missed calls and open quotes with no follow-up." It doesn't call anyone back for you, but nobody falls through the cracks. Zapier lists a free plan, and multi-step Zaps start at $19.99/mo. Zapier's write-up

How to pick

  • You miss a few calls a day and want to stay hands-on: start with a missed-call text-back. It is the smallest change.
  • You miss a lot of calls and want jobs booked for you: try a ready-made voice agent. Call it yourself 5 times before you turn it on, and fix any wrong answers.
  • You like to tinker: the n8n and Zapier setups cost less per month, but you own the upkeep.

Whatever you choose, start with after-hours calls first. Listen to the first week of calls. Call back anyone who needs a real person.
